Privacy, Family Information Use, and Limited Health Information Consent

Roc Solid Foundation (“Roc Solid”) is a non-clinical nonprofit family support organization and is not a healthcare provider, insurance provider, medical practice, treatment provider, or covered entity under the Health Insurance Portability and Accountability Act (“HIPAA”). 

Roc Solid provides non-medical support services to families affected by pediatric cancer. These services may include Ready Bags, play-based support opportunities, hospital partner coordination, family resource navigation, community-based support, and related nonprofit programming.

Roc Solid is committed to protecting the privacy, dignity, and trust of the families we serve.

Information We May Collect

In order to provide family support services, Roc Solid may collect personal and family information, including, but not limited to:

  • Child’s name
  • Parent/guardian name
  • Diagnosis type or broad diagnosis category
  • Child’s age
  • Mailing address
  • Zip code and general geographic region
  • Contact information
  • Photographs/related media

Roc Solid collects this information only for nonprofit family support purposes. Roc Solid does not collect this information to provide medical care, medical advice, diagnosis, treatment, insurance, or healthcare services.

A. Family Support Services

To coordinate and provide support services including Ready Bags, play opportunities, hospital partnerships, family resource navigation, and related family support programming.

B. Community and Donor-Funded Play Support

To help Roc Solid secure funding, sponsorships, donor support, and program expansion for play opportunities and family services, Roc Solid may use limited family information such as diagnosis type, child age, and general geographic region (including zip code). Personally identifying information will only be shared when necessary and with appropriate protections in place.

C. Internal Program Evaluation and Impact Reporting

To evaluate services, improve programming, measure impact, and report general outcomes to supporters, grant funders, and hospital partners. Whenever possible, information will be shared in aggregate or de-identified form.

D. Advertising & Third‑Party Platforms

We may use third‑party advertising platforms, such as Meta, Google, LinkedIn or similar platforms, to share general awareness messages, promote Roc Solid’s nonprofit family support services, and communicate with people who choose to contact us.

Roc Solid does not use sensitive family information collected through support programs for advertising, ad targeting, retargeting, audience creation, lookalike audiences, or advertising measurement.

Roc Solid may share a family story, testimonial, photograph, video, or diagnosis-related information in public-facing materials only when a parent or legal guardian has provided separate, explicit permission for that specific use. Any such consent is voluntary and is not required to receive Roc Solid support services.

Information submitted through our ads is used solely for communication and service-related purposes and is handled in accordance with Meta’s advertising policies and applicable data protection laws.

Roc Solid does not share diagnosis information, child health-related information, family service request details, referral information, photographs, testimonials, or other sensitive family information with Meta, Google, LinkedIn, or other advertising platforms for advertising data purposes.

Sharing Information with Third Parties

RSF does not sell, rent or lease its customer lists to third parties.  

RSF may share data with trusted partners to help perform statistical analysis, send you email or postal mail, provide customer support, or arrange for deliveries. All such third parties are  prohibited from using your personal information except to provide these services to RSF, and  they are required to maintain the confidentiality of your information.  

RSF may disclose your personal information, without notice, if required to do so by law or in the good faith belief that such action is necessary to: (a) conform to the edicts of the law or comply  with legal process served on RSF or the site; (b) protect and defend the rights or property of  RSF; and/or (c) act under exigent circumstances to protect the personal safety of users of RSF, or  the public.  

Automatically Collected Information 

Information about your computer hardware and software may be automatically collected by RSF.  This information can include: your IP address, browser type, domain names, access times and  referring website addresses. This information is used for the operation of the service, to maintain  quality of the service, and to provide general statistics regarding use of the RSF website.

This website contains links to other sites. Please be aware that we are not responsible for the  content or privacy practices of such other sites. We encourage our users to be aware when they  leave our site and to read the privacy statements of any other site that collects personally  identifiable information.  

Security of your Personal Information 

RSF secures your personal information from unauthorized access, use, or disclosure. RSF uses  the following methods for this purpose:  

  • SSL Protocol through Blackbaud.com

When personal information (such as a credit card number) is transmitted to other websites, it is  protected through the use of encryption, such as the Secure Sockets Layer (SSL) protocol.  

We strive to take appropriate security measures to protect against unauthorized access to or  alteration of your personal information. Unfortunately, no data transmission over the Internet or  any wireless network can be guaranteed to be 100% secure. As a result, while we strive to  protect your personal information, you acknowledge that: (a) there are security and privacy  limitations inherent to the Internet which are beyond our control; and (b) security, integrity, and  privacy of any and all information and data exchanged between you and us through this Site  cannot be guaranteed.  

A. Privacy and Secure Storage

Roc Solid will make reasonable efforts to securely store and protect family information using platforms and systems designed to safeguard sensitive information. Information will only be accessible to authorized staff, approved partners, or service providers necessary to support the family.

B. Data Breach Notification

In the event of an unauthorized access, disclosure, or breach involving personal or health-related information, Roc Solid will take reasonable steps to investigate, contain, and address the incident. If required and appropriate, affected families will be notified in a timely manner and provided with relevant information regarding next steps and available support.

Right to Deletion 

Subject to certain exceptions set out below, on receipt of a verifiable request from you, we will:

  • Delete your personal information from our records; and  
  • Direct any service providers to delete your personal information from their records. 

Please note that we may not be able to comply with requests to delete your personal information  if it is necessary to:  

  • Complete the transaction for which the personal information was collected, fulfill the  terms of a written warranty or product recall conducted in accordance with federal law,  provide a good or service requested by you, or reasonably anticipated within the context  of our ongoing business relationship with you, or otherwise perform a contract between  you and us;  
  • Detect security incidents, protect against malicious, deceptive, fraudulent, or illegal  activity; or prosecute those responsible for that activity;  
  • Debug to identify and repair errors that impair existing intended functionality;  • Exercise free speech, ensure the right of another consumer to exercise his or her right of  free speech, or exercise another right provided for by law;  
  • Comply with the California Electronic Communications Privacy Act;  • Engage in public or peer-reviewed scientific, historical, or statistical research in the  public interest that adheres to all other applicable ethics and privacy laws, when our  deletion of the information is likely to render impossible or seriously impair the  achievement of such research, provided we have obtained your informed consent;  • Enable solely internal uses that are reasonably aligned with your expectations based on  your relationship with us;  
  • Comply with an existing legal obligation; or  
  • Otherwise use your personal information, internally, in a lawful manner that is  compatible with the context in which you provided the information.  
A. Voluntary Participation

Participation in Roc Solid services is voluntary. Families may request clarification regarding how their information is used and may withdraw consent for future non-essential use of personal information by submitting a written request to Roc Solid Foundation.

By signing this Agreement, the Family acknowledges they understand and consent to the collection, use, and limited sharing of information as described above.

Children Under Thirteen 

RSF collects personally identifiable information from children under the age of thirteen. RSF  collects this information for the following reason(s): For the purpose of determining eligibility  for our pediatric cancer Hope/Play support programs. 

If you are under the age of thirteen, you must ask your parent or guardian for permission to use  this website. If you are a parent and you have questions regarding our data collection practices,  please contact us using the information provided at the end of this Statement of Privacy.  

E-mail Communications 

From time to time, RSF may contact you via email for the purpose of providing announcements,  promotional offers, alerts, confirmations, surveys, and/or other general communication. In order  to improve our Services, we may receive a notification when you open an email from RSF or  click on a link therein.  

If you would like to stop receiving marketing or promotional communications via email from  RSF, you may opt out of such communications by Clicking the UNSUBSCRIBE Button.  

External Data Storage Sites 

We may store your data on servers provided by third party hosting vendors with whom we have  contracted. 

Website and Donation Form Tracking

We use a tool called Responsive Listener by Virtuous to better understand how visitors interact with our website and donation forms. This tool tracks activity such as pages visited, links clicked (including from our emails), and general engagement behavior. The information helps us improve user experience and personalize donation suggestions. Responsive Listener does not collect sensitive personal data like credit card numbers. By using our site, you consent to this type of tracking for site optimization and outreach purposes.

Changes to this Statement 

RSF reserves the right to change this Privacy Policy from time to time. We will notify you about  significant changes in the way we treat personal information by sending a notice to the primary  email address specified in your account, by placing a prominent notice on our website, and/or by  updating any privacy information. Your continued use of the website and/or Services available  after such modifications will constitute your: (a) acknowledgment of the modified Privacy  Policy; and (b) agreement to abide and be bound by that Policy.
